Role: Division Administrative Assistant
Grade: B1/B2, according to experience
Salary: €3226 (B1)/ €3676(B2) per month (gross)
Contract Type: Temporary (12 months max)

The EDQM’s Administration & Finance Division (DAF) is seeking a temporary Administrative Assistant as of 15 March until the end of 2025. The Assistant will provide high-level administrative support to the Division by managing office tasks, co-ordinating schedules, handling communication, and assisting with operational needs. This role requires strong organisational skills, attention to detail, excellent communication skills and the ability to work independently in a fast-paced environment.
The key responsibilities would be:
- managing and maintaining schedules and appointments for the Head of Division;
- providing administrative support to projects and initiatives, including co-ordinating the organisation of meetings, taking minutes, managing shared email boxes and following-up on action items, contributing personally to projects and initiatives as necessary;
- preparing, proofreading, and editing emails, correspondence, reports, presentations, surveys and other documents;
- co-ordinating the organisation of the Division’s internal communication, including regular meetings and publishing the monthly newsletter, and posting material on the EDQM’s Intranet;
- supporting the onboarding and welcoming process for new staff joining the team;
- organising travel arrangements for Division staff;
- organising and maintaining files, records, and documentation, ensuring easy retrieval and confidentiality;
- maintaining a customer-centric approach in all interactions, ensuring prompt and courteous responses to enquiries;
- performing other tasks as assigned to support the Division’s objectives and activities and backfill colleagues as needed.

We are looking for candidates with the following:
- two years minimum of administrative support experience, preferably in an international setting;
- proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, OneNote, Forms and Planner) and other relevant software;
- very good verbal and written communication skills in English and good skills in French;
- exceptional organisational and time management abilities;
- ability to handle sensitive information with confidentiality and professionalism;
- attention to detail with the ability to multi-task and prioritise work effectively;
- self-motivation and the ability to work both independently and within a team environment… and
- a sense of humour.
You must also:
- be a citizen of one of the 46 member states of the Council of Europe;
- be under 65 years of age at the closing date of this job advert.
